Export Sales Administrator

REPORTS TO: Customer Service and Marketing Manager
LOCATION:      Andover

JOB PURPOSE

To maintain and enhance export customer base including communication with overseas agents.
To provide full administrative support in the sales and marketing department, maintaining a high level of customer service and satisfaction.

KEY TASKS

• Provide a prompt and professional response to telephone enquiries and export sales orders
• Process export sales orders and export sales contracts received by telephone, fax e-mail or post, on F8 system. Acknowledge orders in writing, when required.
• Confirm despatch and delivery dates in accordance with prevailing conditions.
• Monitor outstanding order status and keep export customer base and overseas agents informed of progress/delays involving close liaison with production/QC departments at Barton Stacey
• Process export sales sample requests Process export sales quotations and maintenance of the quote log database
• Provide a prompt and professional response to new enquiries including distribution of promotional literature and mailshots
• Forward product specifications and MSDS forms to customer base as required
• Forward questionnaires and other technical data forms to QC dept for completion
• Update and maintenance of questionnaire log
• Correspondence with agents and customers
• Word processing (letters faxes and e-mail) and filing
• Provide temporary cover when required in the department, to include UK sales order processing
• Undertake such other duties as may reasonably be requested by the company from time to time.

EXPERIENCE & KNOWLEDGE

Essential:
  Excellent working knowledge of MS Office, Word & Excel.
  Customer service experience
  Good communication skills
  Ability to enter data accurately and prioritise workload

Desirable:
  Knowledge of MRP systems and forecasting.
  Export / Import experience desirable.
